Privacy Policy
Last updated: 17 June 2026
This Privacy Policy explains how True Serendipity Pty Ltd (ABN 71 629 918 930) ("we", "us", "our") handles personal information when you use My Committee AI (the "Service"). We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using the Service, you agree to the handling of personal information as described in this policy.
1. The personal information we collect
We collect:
- Account and contact information — your name, email address, and details about your scheme (such as its name and lot count) that you provide when signing up.
- Billing information — when you subscribe, payment details are collected and processed by our payment provider; we do not store full card numbers ourselves.
- Content you upload or enter — including by-laws, meeting minutes, levy and financial records, correspondence, maintenance and contract records, decisions, and the questions you ask the Service.
- Information about other people — your uploaded and entered content may include personal information about third parties, in particular lot owners and occupiers (such as their names, lot numbers, contact details, and levy or arrears information). See clause 4.
- Usage and technical information — basic information generated when you use the Service, such as log data and device/browser information.
2. How we use personal information
We use personal information to:
- provide, operate, and maintain the Service;
- store your documents and make them searchable;
- generate answers, drafts, and other AI output in response to your requests;
- process subscriptions and payments;
- communicate with you about your account, support, and service updates; and
- maintain the security and integrity of the Service and comply with our legal obligations.
3. Artificial intelligence and third-party providers
To deliver the Service, we use trusted third-party providers ("sub-processors") and may disclose personal information and your content to them only as needed to provide the Service:
- AI providers — when you ask a question or request a draft, we send your request and the relevant content (for example, the relevant parts of your documents and applicable legislation) to our AI provider, Anthropic (the Claude API), and to our embeddings provider, Voyage AI, so the Service can generate a response.
- Hosting and database — Base44, which hosts the application and stores your data.
- Payments — Stripe, which processes subscription payments.
- Email delivery — Postmark, which sends transactional emails.
We do not sell your personal information, and we do not use your content to train AI models. Our AI providers process your content only to generate responses for you: Anthropic does not use content submitted through the Anthropic API to train its models, and we have opted out of model training and data retention with Voyage AI.
4. Information about other people (lot owners)
The Service is designed for body corporate committees, so the content you enter will often include personal information about other people, especially lot owners. When you provide that information:
- you confirm you are entitled to collect and use it for body corporate purposes; and
- we handle it on your behalf, solely to provide the Service to you.
You are responsible for ensuring your own collection and use of that information complies with the Privacy Act and your body corporate's obligations.
5. Overseas disclosure
Our providers store and process data in the United States. In particular, our hosting provider (Base44) stores your app data on servers located in the United States, and our AI, payment, and email providers (Anthropic, Voyage AI, Stripe, and Postmark) also process data in the United States. By using the Service, you acknowledge that your personal information and content (including information about lot owners) is stored and processed overseas, in the United States. We take reasonable steps to use reputable providers, but the privacy laws of the United States differ from Australia's.
6. Security
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including access controls that separate each scheme's data and encrypted backups. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If we become aware of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.
7. Retention and deletion
We keep your personal information while your account is active and as needed to provide the Service. After you close your account or your subscription ends, we keep your scheme data for 30 days so you can ask us for a copy, then delete or de-identify it within a further 60 days.
We keep billing and transaction records for up to 7 years where we need them to meet Australian tax and record-keeping laws. Copies of deleted data may remain in secure backups for a limited period before being overwritten.
You can ask us to delete your information sooner by contacting us, and we will do so except where we are required to keep it by law.
8. Cookies
The Service uses only essential cookies — in particular, a cookie that keeps you logged in. We do not use analytics, advertising, or other non-essential tracking cookies.
9. Your rights
Under the Australian Privacy Principles, you may request access to the personal information we hold about you, and request that we correct it if it is inaccurate, out of date, incomplete, or misleading. To make a request, contact us at support@mycommitteeai.com.au. We will respond within a reasonable period and may need to verify your identity first.
10. Children
The Service is intended for adults acting for a body corporate and is not directed at children.
11. Complaints
If you have a privacy concern or believe we have breached the Australian Privacy Principles, please contact us first at support@mycommitteeai.com.au so we can try to resolve it. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (www.oaic.gov.au).
12. Changes to this policy
We may update this policy from time to time. If we make material changes, we will give reasonable notice (for example, by email or in-app). The "last updated" date at the top shows when it was last revised.
13. Contact
